Forms & Registers Module: Feature Overview

Forms & Registers is the compliance heart of Superfood: every scheduled check your site runs, the registers auditors ask for, and the trail that proves it all happened. Sign in at app.superfoodapps.com and pick Forms & Registers from the home screen.


Dashboard

  • One screen that answers "what needs doing" — Overdue, Due today and Due soon counts up top, with an On track percentage across your scheduled forms

  • Four view modes: Timeline (Overdue / Today / Tomorrow / Later lanes), Table (the default), List cards and a Board grouped by status

  • Every form shows its next due date and a live countdown; hourly forms count down to the minute

  • Complete a form straight from its row — the renderer validates required fields and confirms with a numbered submission receipt


Form Library

  • All your forms in one place: a built-in registry of pre-built food safety forms (receiving, temperature, cleaning, HR, compliance, pest control and more) alongside your own custom forms

  • Each form carries its category, completion frequency (hourly, daily, weekly, monthly, on demand and more) and current version

  • Filter by category and search across everything


Custom Form Builder

  • Build any form visually — sections, 18 field types (text, number with units, date, time, dropdowns, radio, checkboxes, email, phone, signature, tables, staff selector, product selector, photo, file upload, rating, linear scale, and instruction blocks)

  • Type / in the builder to insert a field from the slash menu, exactly like the Docs editor

  • Mark fields Required or flag them for individual QA sign-off; make whole sections repeatable so staff log many entries in one submission

  • AI form import: upload an existing paper or digital form (PDF, Word, Excel, CSV or image) and the AI extracts sections, fields and types into a ready-to-edit draft

  • Every save bumps the form's version and records a change list in the Amendment register — nothing changes silently


Registers

  • Compliance registers with their own columns: start from the Chemical, Scale or Thermometer template, or build a fully custom register

  • Add, rename, reorder and remove columns any time — text, number, date, dropdown and yes/no fields, with required flags

  • Anyone signed in can add entries; archive keeps superseded items for the audit trail

  • Import existing lists from Excel, Word or CSV with automatic column matching, and export any register to PDF or Excel


Submissions, Sharing and QA

  • Full searchable history of every submission with submitter, timestamp and status

  • Share a form publicly with a link so contractors or suppliers can fill it without an account; share any completed submission as a read-only link

  • Photo fields can hand off to a phone: scan the QR code and upload photos from your camera straight into the form

  • The QA queue lists submissions awaiting review — sign off flagged fields one by one, then approve or reject with notes


Kiosks

  • Turn any tablet into a PIN-protected form station for the factory floor — staff unlock with a 4-digit PIN, see only that station's forms sorted by urgency, and record who completed each form with a one-tap staff picker

  • The idle screen doubles as a compliance display: the time plus live overdue and due-today counts


Training and Amendment Registers

  • Training register: staff training records in one filterable table

  • Amendment register: every change to forms (and docs and labels) with version numbers, change summaries and who made them — click any row to see the detail, and restore an old version as a new copy

  • Both export to PDF and Excel for audits


Access

  • Everyone signs in with their work email (a 6-digit emailed code) or Google; each company sees only its own forms, submissions and registers

  • Admins build forms, manage kiosks and registers, and review QA; the QA queue is also open to anyone in the "QA" group
