Forms: Submissions, Sharing and the QA Queue

The submissions history, sharing forms with people outside your account, phone photo hand-off, and the QA review flow with field-level sign-offs.

Submissions history

  • Submissions in the sidebar lists every completed form with the submitter, date and status — searchable and filterable by form and date.

  • Click any row for the full detail: every answer organised by section, photos and files inline, signatures rendered, and the QA status badge.

  • Admins can archive a submission (kept, hidden by default) — archived rows are retrievable on demand.


Sharing

  • Share a form: the ··· menu on any scheduled form creates a public fill link. Anyone with the link — a contractor, a supplier, an auditor — can complete the form in their browser without an account, and the submission lands in your history like any other.

  • Share a submission: from the submission detail, copy a read-only link to that exact record — handy for sending evidence to a customer or certifier.

  • Photos from a phone: photo fields show a QR code — scan it with any phone and the camera uploads straight into the form you're filling on the bigger screen.


The QA queue

  • Forms can require review before they count. Submissions from those forms arrive in the QA queue (visible to admins and anyone in the "QA" group).

  • The review modal shows the whole submission by section. Fields flagged for QA carry individual Sign off buttons — each records who signed and when, with a progress indicator across the required sign-offs.

  • Repeatable-section submissions display as numbered record cards (Record 1, Record 2…).

  • Approve or Reject with notes — notes are required on rejection so the submitter knows what to fix.

  • Statuses flow through everywhere: a rejected submission shows its rejection notes and who rejected it, in the list, the detail view, and on kiosks.
