Assets List — Managing Your Equipment Register

The Assets List is the central register of all equipment and machinery at your facility. Every asset you want to maintain, schedule PM tasks for, or link spare parts to must first be added here.

The Assets List View

Navigate to Assets List from the top tabs. The list displays all assets with the following columns:

  • Asset Name & Description — The asset code and name (e.g. "MA1948 - Fridge Unit - Cream Room"). Assets are prefixed with a unique code like MA1948.

  • Status — Whether the asset is Active, Inactive or Decommissioned. Active assets display a green badge.

  • Item Type — The category or type of equipment.

  • Location — Where the asset is physically located (e.g. Production, Warehouse, Blue room).

  • Risk Assessment — Link a risk assessment document to the asset for WHS compliance.

  • Linked to Register — Associate the asset with a specific register (e.g. a maintenance or compliance register).

Filtering the Assets List

Use the filter buttons at the top of the list to narrow down assets by:

  • Status — Active, Inactive, Decommissioned

  • Item Type — Filter by equipment category

  • Location — Filter by area within your facility

  • Register — Filter by linked register

You can also use the search icon and sort by created date to find assets quickly.

Adding a New Asset

  1. Click the + New Asset button in the top right corner.

  2. Enter the asset details including name, description, location, item type and status.

  3. Optionally link a risk assessment and register.

  4. Save the asset — it will appear in the list and be available for job sheets and PM schedules.

Exporting the Assets List

Click the Export button in the top right to download your full assets register as a spreadsheet. This is useful for audits, insurance records and asset management reviews.

Setting Up Preventative Maintenance from an Asset

PM schedules are configured directly within each asset record — not from the Dashboard or a separate PM section. To set up a maintenance schedule:

  1. Open the asset from the Assets List.

  2. On the first tab of the asset record, locate the maintenance schedule settings.

  3. Set the frequency (e.g. Weekly, Monthly, Quarterly) for the PM task.

  4. Save — the system will automatically generate job sheets when the next maintenance date is due.

Naming Convention

Assets in Superfood Apps follow a structured naming convention: [Asset Code] - [Asset Name] - [Location/Detail]. For example:

  • MA1948 - Fridge Unit - Cream Room

  • MA1947 - Evap Cooler - CR1

  • MA1942 - Cream Pump

Using consistent asset codes makes it easy to identify equipment across job sheets, spare parts and PM schedules.

Tips

  • Always set the Location field accurately — it helps technicians find equipment quickly when responding to a job.

  • Link a Risk Assessment to any asset that poses a WHS hazard.

  • When an asset is retired, update its status to Decommissioned rather than deleting it — this preserves the full maintenance history.

  • Export your assets list before any audit to have a clean register ready to present.
