Job Sheets — Creating & Managing Maintenance Jobs
The Job Sheets tab is where all maintenance work is logged, tracked and managed. Every job is linked to an asset and can be assigned to a staff member or contractor.
The Job Sheets List
When you click Job Sheets in the top navigation, you will see a table of all maintenance jobs with the following columns:
Job Details — The name of the job, typically formatted as Asset Code - Asset Name | Frequency (e.g. "2021 00 053 - Milk Silo 4 | Weekly").
Job ID — A unique numeric identifier automatically assigned to each job.
Status — The current status of the job (e.g. Authorised, In Progress, Completed).
Link to Asset Required — The asset this job is associated with.
Contractor — The external contractor assigned to the job, if applicable.
Scheduled Date — When the job is scheduled or when it was created.
Assigned to Staff Member — The internal staff member responsible for the job.
Creating a New Job Sheet
Go to Job Sheets in the top navigation.
Click the + New Maintenance Jobs Sheets button in the top right corner.
Fill in the job details including the linked asset, contractor or staff member, and scheduled date.
Save the job sheet — it will appear in the list and be visible to the assigned technician.
Filtering & Sorting Job Sheets
Use the Filters button to narrow down the job list by specific criteria. You can also change the sort order using the Sort button (default is sorted by created date).
Job Status
Each job sheet has a status badge. The Authorised status (shown in yellow) indicates the job has been approved and is awaiting action or in progress. Jobs move through statuses as work progresses through to completion.
Assigning Jobs to Contractors
You can assign a job to an external contractor directly from the job list by selecting from the Contractor dropdown on each row. Contractors are drawn from your Technicians list in the Supplier CRM.
Viewing Job History per Asset
Each asset maintains a full history of all job sheets linked to it. To view job history for a specific asset, open the asset record from the Assets List and navigate to the Job Sheets tab within the asset. This gives you a complete maintenance record useful for audits and identifying recurring faults.
Tips
Job names are automatically formatted as Asset Code - Asset Name | Frequency for preventative maintenance jobs generated from an asset schedule.
Assign both a contractor and a staff member where jobs require internal oversight of external work.
Use filters to view only jobs assigned to a specific technician or linked to a specific asset.
