Visitor Register: notify the right staff when a visitor arrives

The "Who are you visiting?" dropdown emails the staff member on arrival, and again if the visitor is still on site after four hours.

The Visitor Register can email the person a visitor has come to see, the moment they sign in, and again if the visitor is still on site hours later. This is what the Who are you visiting? field is for.

Set up the "Who are you visiting?" dropdown

  1. In the designer, add a field and set its type to Who are you visiting? (staff) (the starter form already has one).

  2. A list of your staff appears. Tick the people a visitor should be able to choose.

Choosing which staff a visitor can select

The staff list comes from your team in Superfood. Anyone marked no email can still be listed, but they will not receive a notification (there is no address to send to). The counter shows how many of your staff are selectable, and Clear all starts over. Remember to Save changes.

On the sign-in page this becomes a simple dropdown of names. The visitor picks who they are seeing.

What gets sent

On arrival. As soon as the visitor signs in, the staff member they picked gets an email: who has arrived, which company they are from, and where they signed in. It lands in seconds, so your team can come and meet their guest without reception having to chase them down.

After four hours. If a visitor is still signed in four hours later, their host gets a second email, a reminder to check the visitor has actually left and to sign them out if they have. This keeps your "on site now" list honest and your evacuation list accurate.

Both emails are best-effort and never hold up a sign-in. If a visitor did not pick a host, no email is sent.

Good to know

  • Staff emails are never shown on the public sign-in page. The visitor only ever sees names.

  • Notifications need email to be set up for your account. If it is not, sign-ins still work, the emails are simply skipped. Contact support if you are not sure.
