PromoPlan: Feature Overview

An introduction to PromoPlan: plan retailer promotions, auto fill ranging forms, sync your sales data, track performance and budgets, and report on it all with AI.

What PromoPlan does

PromoPlan is where you plan promotions with your retailers and produce the paperwork they need. You build a promotion once, and PromoPlan fills each retailer's ranging forms from your products and pricing, tracks the promotion through to confirmation, records what it actually sold, and keeps your budgets and spend in view. Connect your sales data and it also measures each store's performance and each promotion's real uplift.

The pieces

  • Promotion planner: the live list of promotions, with headline counts (live in store, launching soon, waiting on retailers), grouping by trade week or promo group, and bulk actions.

  • Calendar: a Gantt timeline or month view of every promotion, with category and product filters and a hover card showing what is in each promotion.

  • Analytics: describe the report you want in plain words and PromoPlan designs it for you, runs it on fresh data, and saves it to rerun any time. Export any report as PDF or Excel.

  • Form requests: generate retailer paperwork on demand: price lists, new line forms, promotional forms, the per-store upcoming deals report, and the rep reports. Every request is saved and can be rebuilt later.

  • Budgets: trade spend budgets with committed and actual spend, sales value, return on spend, and (with retailer trading terms set) terms cost and net result rolled up from each promotion.

  • Customers: your stores, their contacts and account managers, with each store's promo activity and optional performance columns: 12-month sales, trend, and a one-line AI verdict per store.

  • Retailers: your retailer and wholesaler groups, the stores linked to each, the default promotion dates and start day that pre-fill new promotions, and each retailer's trading terms.

  • Products and Price list: your products and their tier pricing, shared with EasyImport.

  • Sales data: bring your invoiced sales in by file, by a company email address, or synced from Unleashed, MRPeasy or Xero; browse it by invoice, fix mismatches, and let it feed store performance and promotion uplift.

  • Templates: upload a retailer's form once and map its columns; PromoPlan fills it from then on.

  • Exports: saved export designs that get your products, pricing, customers and promotions out to tools like Unleashed and Ordermentum.

  • Settings: your own promotion types and statuses, managed per company.

The everyday flow

  1. Set up your retailers, stores and price tiers once, and connect your sales data.

  2. Build a promotion: pick the store, add the products, set the pricing. The dates pre-fill from the retailer's defaults.

  3. Generate the ranging forms and email them to the retailer without leaving the planner.

  4. Track the promotion to confirmed, record its sales results, and watch spend, uplift and return against your budget.

Make the tables yours

Every large table in PromoPlan has a Columns button in its filter bar. Turn columns on or off, save the set as a named view, and switch views whenever you like. An administrator can mark one view as the company default so everyone starts from the same layout. See the article "Choosing Table Columns and Saved Views" for the details.

Who can use it

Anyone in your PromoPlan or Promotions group can view the planner, calendar, and saved reports. Building and editing promotions, pricing, retailers, sales connections, exports and settings is limited to administrators.
